Charter Bus Rental Questions
May I choose my charter bus?
Typically, yes! Our vast network of charter bus vendors has a wide range of coach buses to choose from. Based on your trip needs, we will recommend a bus for you, however, if you would prefer to select your bus, we would be happy to accommodate you!
How will my busses be selected?
During the booking process, we will gather all pertinent details about your trip – including number of passengers, duration of your trip, luggage details, and any special needs of your passengers. Once we gather these details, we work with our network of vendors to select the right bus(es) for your needs.
What are the standard amenities with a coach bus?
Standard amenities (excluding school buses) will include high-back reclining seats, climate control, spacious leg room, restroom, and a basic sound and PA System. Seatbelts are not standard in a charter bus but can be requested (although not guaranteed).
What other bus amenities can i request?
Depending on availability, and for an additional fee, you can request to have Wi-Fi, electrical outlets, DVD players and monitors, leather seating, hardwood flooring, and PA systems. We also have ADA- accessible coach buses available. Please make all requests known at the time of your booking.
What do we do if our bus breaks down mid-trip?
While not very common, due to the stringent maintenance of the charter buses, we do have a plan in place! Simply call us at 1-888-612-1308 for immediate assistance, and we will find a replacement vehicle without adding tremendous delay to your trip.
Driver Questions
Do you require your drivers go through a background check?
Absolutely! All drivers provided by a vendor will be required to participate in all screenings required by state and federal agencies and regulations. Additionally, we require that all drivers must have some experience operating a charter bus.
How will my buses be selected?

What information will i receive about my driver?
Should you need to contact your driver, simply give us a call, and we will provide you with their phone number so you can reach your driver directly.
How do i submit a request for a spab/isd/19a certified driver?
Please request your SPAB/ISD/19A certified driver request at the time of booking. We have this available in the following states: AZ, CA, NY, NJ, and OR.
Trip questions
What do i do if i need to make a last-minute change to my itinerary?
We would be happy to accommodate the modifications of your itinerary! Please contact us as soon as you know your trip details have changed. Please note that changes to your trip may lead to an increase in price for added time or mileage.
Would i be able to keep the bus longer than the originally agreed upon time?
Should your bus driver agree, and the request also meets the D.O.T. regulations, we will do our best to honor your request. Please note that additional fees for overtime may be charged. You may also opt to add extra booking time in advance to keep your costs low.
What happens if our passenger count changes?
Depending on availability, we will book a different bus for you if your passenger count surpasses the original bus booked. Please note that price changes may occur.
Why do you require an itinerary?
To remain in compliance with the D.O.T. regulations and laws, we will need to review your itinerary and determine if any modifications will be required with your booking.
Can we tailgate on the bus?
Please make this request at the initial time of booking and we will work with our vendors to find one that will accept tailgating. Please note that there may be an additional fee.
Can we hire you to just drive us around instead of following a set itinerary?
Unfortunately, no. The D.O.T. regulations do not allow charter bus trips without an itinerary. Changes to your itinerary can be made at any time, even while on the road!
Are we allowed to bring food and beverages on the bus?
In most cases, yes! However, some of our vendors do not allow it, so we ask that you verify with your booking agent first. An additional security deposit, or extra cleaning fee may be incurred. Alcoholic beverages must be approved by Coach America. We require that all persons on board must be 21+ and that consumption of alcohol must comply with state and local regulations. We do not allow kegs and glass bottles.
Charter Bus Rental Pricing Questions
How must does it cost to rent a charter bus?

What is included in my quote?
Your quote includes minimal driver gratuity, insurance, tolls, fuel, and any fees for the use of the bus. You will be responsible for any parking fees and permits, and for overnight trips, you will need to get a hotel room for your driver at a hotel that allows parking for the bus.
What payment methods are accepted?
All major credit cards, personal and business checks, wire transfers, and money orders, are all methods of payment that we accept. If you pay by check, your check must be received by us at least 30 days prior to the beginning of your rental, and we ask that you include your charter number on the check.
Are there special discounts for military or non-profits?
Yes! We offer a 5% discount to all branches of the armed forces, and to all non-profit organizations. A copy of your valid military ID or proof of your 501c-3 non-profit status must be supplied at the time of booking.
How does the price match guarantee work?
- Please provide a copy of the competitor’s quote. It must be received at least 30 days prior to the scheduled departure of your trip.
- All trip details must be the exact same. This includes the date, time, and type of charter.
- The competitors quote must also include tip, tolls, and fuel. The year, make, model, and amenities of the bus must also be similar.
- The competitor must have a satisfactory rating per the D.O.T.
- Coach America must have availability on the date of the requested charter.
- Should you choose to price match, booking must be completed within 72 hours.
